The Responsibilities of a Wedding Planner



A wedding planner will help with the organising and co-ordination of a wedding day. He or she will look into all possibilities for different aspects of the wedding and work within the budget to create the dream of the couple. There are many wedding planner responsibilities and these need to be looked into before you decide that wedding planning is a career choice for you.

People Skills

You need to be a people person as you will work closely with the couple and the vendors for the wedding. As a wedding planner, you will need to have regular meetings with your clients to find out their exact dreams for their big day and their budgets. You will then need to contact the vendors to find out whether their dreams are possible.

Negotiating with Vendors

Having good negotiation skills is essential when wedding planning. It is important to work within the budget of clients and this often means working with the vendors to make it happen. You may need to convince clients to opt for something a little less for their money or for the vendor to throw in something for free.

Part of the wedding planner responsibilities is also to negotiate between everyone on the day. Tempers flare. The groom’s party want one thing while the bridal party want something else. It is up to you to keep everyone calm and act on the couple’s wishes for the day – after all, it is their day!

Keep Track of Finances

It is likely that the wedding planner will be put in complete control of the finances. This is an extremely important job. You will need to monitor the total budget and split it evenly in all areas. The wedding consultant will then need to keep track of areas that have been booked and paid for and track the money left over. You will benefit from already having contacts to various vendors and since you do business with them regularly, they are more likely to negotiate a price with you.

Tracking RSVPs

Some couples will ask their wedding planner to track the RSVPs. This is a timely job for the couple – we did it and never heard from some people who turned up on the day! – and it makes it difficult to plan numbers. You will need to follow up on those who have not RSVP’d by the date and track those who will and will not be attending.

A wedding planner’s responsibilities run right through to the end of the event – sometimes into the morning after. You will need to help the couple decide on all their options, track their expenditure and make sure they are happy when going off on their honeymoon. However, it is a rewarding task when you see everyone have the day that they have always dreamed of.
